Submissions terms and conditions

A few definitions

For the sake of clarity, here are a few terms used in these terms and conditions:

  • “Committee” means representatives from iCommons as well as other individuals and organisations who may participate in the facilitation, co-ordination and organisation of iSummit activities from time to time;
  • “iCommons” means iCommons Limited, details of which can be found at http://icommons.org/about/;
  • “iSummit” means the iCommons iSummit ‘08 to be held in Sapporo, Japan in July 2008;
  • “submissions” means program submissions which members of the community are invited to submit for the iSummit;

Important note

  • These terms and conditions apply to all submissions made for the iSummit.
  • Please do not make a submission if you do not agree to these terms and conditions.
  • If you make a submission you agree to these terms and conditions and that iCommons may assume you have, in fact, agreed to these terms and conditions.

Making submissions

First it is important to note that submissions are not guaranteed to be accepted. All submissions will be considered by the Committee and assessed based on various criteria including the goals of the iSummit set out on the call for submissions page. If submissions do not meet these criteria, they will not be accepted. Between 1 April and 14 May, successful applicants will be notified that their submissions have been accepted, by email. Unsuccessful applicants may not be notified that their submissions have not been accepted.

Submissions must be received by the Committee by 17:00 (GMT +2) on 18 April 2008. Please make your submission using this link. This is the only way you may make a submission. Please contact James Cairns, the iSummit ‘08 programme coordinator, at james ‘at’ icommons ‘dot’ org, for any queries.

Acceptance of submissions

Acceptance of your submission means that you will be invited to convene a session at the iSummit. The format of that session will be determined by the Committee in consultation with you and relevant stakeholders such as members of the community your session will include. A representative of the Committee may contact you to discuss changing the format from that which you may have originally envisaged in order to fit the various time, venue and format constraints the Committee must take into account to ensure that the iSummit runs smoothly.

Please note that you will be required to cover your own costs travelling to and incurred at the iSummit, and that acceptance of your submission in no way obligates iCommons to cover any of your costs.

Licensing

In the spirit of the iSummit you are requested to licence -

  • your submission and materials relevant to your submission, as well as
  • printed and digital documents;
  • images;
  • video;
  • sound recordings;
  • any other physical or digital media derived from your submission and sessions based on your submission,

to iCommons under a Creative Commons Attribution 3.0 Unported licence. Licensing your content as described above under a Creative Commons Attribution 3.0 Unported licence is a minimum requirement for consideration of your submission for inclusion in the iSummit. Of course you are also welcome to release your content into the public domain if you wish. Doing so would also satisfy this requirement.

Changes to these terms and conditions

iCommons reserves the right to change these terms and conditions from time to time. It is your responsibility to check back here for updates to these terms and conditions because these changes will apply to all submissions with effect from the date the changes are made.
